Travel & Housing FAQs

Making a reservation within the official Conference Housing Block helps The MedTech Conference provide lower overall meeting costs and allows the The MedTech Conference to secure better rates and meeting space at future meetings. Receiving the lowest rate for your room(s) as well as added services and incentives only available to those who book through Maritz is a personal benefit.

Yes, you can earn rewards points with a preferred hotel chain when booking in the official hotel block – simply enter your rewards or frequent guest number when booking through the online system. When reservations details are transferred to the hotel prior to the event, the frequent guest number will be included with that information

Hotels rooms offered through Maritz at discounted event rates are limited and available on a first-come, first-served basis. While conducting a search, the online system reflects up-to-the-minute availability and booking options.

All requests are at the discretion of the hotel (e.g., high floor, two beds, early check-in, etc). While the hotel will generally do everything in its power to honor requests, accommodations cannot be guaranteed until check-in unless specifically described in your room type.

In most cases, payment for a room is ultimately collected by the hotel, not Maritz. A credit card must be provided to Maritz at the time of booking to guarantee you will adhere to the payment, cancellation and any other special policies of the reservation – this is called a ‘payment guarantee.’ Should you violate the policies and booking conditions (if you do not show up to the hotel, cancel outside of the agreed upon window of time, etc.), the credit card provided may be charged. Refer to the hotel’s specific policies for full details.

Your credit card will not be charged at the time of booking. While hotels will generally await check-in to accept a form of payment for room(s), hotels do reserve the right to charge the card you provide to guarantee a room, which may occur when we transfer reservations from our system to theirs. Refer to your hotel’s specific policies for full details.

If you need further assistance, contact Maritz Monday-Friday 9am-5pm ET at 864-658-5837.

Most foreign nationals require a Visitor Visa (also known as a Temporary Resident Visa TRV) to travel to Canada.

Avoid visa processing delays by registering as early as possible.

If you require a visa to travel to Canada, an invitation letter can be downloaded via the conference registration page once open in May. You must first complete your registration for The MedTech Conference.

Still wondering if this applies to you? Entry requirements are described here: https://www.canada.ca/en/immigration-refugees-citizenship/services/visit-canada/entry-requirements-country.html
